Overtime, undertime, remaining leave — without the spreadsheet.
Once target working time is set, iXTime works it out per member and day: what was owed, what was worked, what absences cover. That becomes a running balance, month by month — and a leave account in hours that gets part-time right on its own. Public holidays for Austria and Germany are one click away.
From weekly target to balance
A chain that computes itself — you only maintain the defaults.
Weekly target with validity
How much is owed per weekday — as a default for everyone, with an own model only for those who differ. Every change applies from a date: whoever moves to part-time in March keeps January and February as they were.
Holidays & free days
Public holidays for Austria and Germany (per federal state) for a whole year in one click. Plus days off or shortened days — say 24 December with “at most 4 h”.
Balance per member
Owed, worked, absent, the month’s plus or minus and the running balance — as a list for the team and per person as a list or a calendar. A day only counts once it is over.
Payout, expiry, correction
Overtime paid out or expired? A balance posting in hours with a mandatory note, effective from its date — earlier months stay unchanged. Coming from a spreadsheet, you bring the current figure over as an opening balance.
Leave account in hours
Entitlement in weeks of the weekly target — five weeks at 20 hours are 100 hours, not 200. Carry-over into the next year if you want it, taken and planned from the vacation entries, remaining from those. Next year’s accounts are created in one step, after a preview.
Everyone sees their own balance
Members see their own balance, their postings and their leave account — on desktop and on the phone. Who sees other people’s balances follows the same visibility rules as time entries.
How it works
Set the weekly target
Switch on “Use target working time” in the settings and enter the hours per weekday under Time accounts → Setup. For part-time, an own model from a date.
Insert holidays
Pick country and year (in Germany also the federal state) and insert. Company closures or shortened days are added as their own exception.
Read the balance
Pick a month and read the list: who is ahead, who is behind, who still has leave left. One click on a person shows every single day.
Where does the overtime come from?
The per-person view adds up in plain sight: carried in from last month plus this month gives the balance. The calendar shows owed and worked for every day, absences carry their reason, holidays owe nothing, and balance postings sit on their date. Every hour can be traced to a day — including in the conversation with the member.
Frequently asked
How do I bring over existing overtime from a spreadsheet?
With the opening balance: per member a date and the figure in hours, plus or minus. From that date iXTime carries on; whatever lies before it stays outside the calculation.
How is leave calculated for part-timers?
Entitlement is set in weeks of the weekly target. Five weeks are 192.5 hours at 38.5 hours a week and 100 at 20 — no manual conversion. A vacation day uses exactly that day’s target.
How does an absence count in the balance?
Sick, doctor’s visit and other cover the day’s target. Vacation counts as worked too and is deducted from the leave account. Time off in lieu covers nothing: the target stays open and the balance drops by exactly those hours.
Does every member see their balance?
Yes. Every member sees their own balance, their own postings and their own leave account, read-only. Who sees other people’s balances follows the time-entry visibility: everyone, their own groups, or only themselves.
What happens to earlier months when the weekly target changes?
Nothing. A change applies from its date; earlier months keep their target and therefore their balance. Changes still to come show as “upcoming” on the timeline.
Do I have to use target working time?
No. It is switched on per workspace. Off, iXTime stays a pure project and working-time tracker, without the Time accounts menu item — with absence tracking alone, the leave planner takes its place.
Is there a leave planner?
Yes, as the “Planner” tab under Time accounts: one month as a grid, one row per member, bars for absences, the number of people away per day at the bottom. You plan your own absence by clicking or dragging right in the grid; days without a target — weekend, public holiday, free day — are booked too, cost nothing from the leave account and do not count as vacation days.
Help: Leave plannerDoes it work on a phone?
Yes. Balance, leave account, the per-person view and balance postings are on the phone just as on the computer — and so is the setup.
