Balance & balance postings

Under Time accounts → Balance, iXTime compares for every month what was owed with what was worked, and keeps the running balance from that. Overtime that is paid out or expires is booked as a balance posting; an existing figure is brought over as an opening balance.

Step by step

  1. 01

    Read the list

Per member: owed, worked, absent, “owed covered” as a bar, the month’s +/− and the balance. The arrows switch the month. A day only counts once it is over — so the current month grows as it goes.

  2. 02

    One person in detail

Clicking a row opens that person’s calculation: carried in + this month = balance. As a “List” day by day, as a “Calendar” with owed and worked in every cell.

  3. 03

    What absences count

Sick, doctor’s visit and other cover the day’s target but never produce a plus. Vacation counts like working time and is deducted from the leave account — beside work it can produce a plus. Time off in lieu covers nothing: the target stays open and the balance drops by exactly those hours. Nothing is owed on a public holiday. Every case with examples in the article “Absences in the balance”.

  4. 04

    Bring over an opening balance

If you have been counting in a spreadsheet, set the “Opening balance” in the detail view: a date (“Count from”) and the figure in hours, plus or minus. From that date iXTime carries on.

  5. 05

    Payout, expiry, correction

“Balance posting” in the detail view: pick the kind, enter hours and date; the note is mandatory. Payout and expiry reduce the balance, a correction can go either way; “Balance after” shows the effect before saving. The posting counts from its date — earlier months stay unchanged, future postings show as upcoming.

  6. 06

Who sees and may do what

Every member sees their own balance, their own postings and their own opening balance, read-only. Other people’s balances are visible to whoever may see their time entries — everyone, or their own groups. Owners and members with “Leave accounts & target hours” may post and set opening balances; every posting is logged.

One person’s calculation

The month’s equation sits at the top, every day below it: owed, worked, absence with its reason, holidays without a target. Balance postings show as a row of their own in the list and as a mark on their date in the calendar — on desktop and on the phone alike.

Adding a balance posting

The posting asks only for what it needs: kind, hours, date and a note — say “Paid out with the October payroll”. It knows no money amounts; the payout itself runs through payroll.

The opening balance

Once per member: from which day iXTime counts and with which figure it starts. It can be changed or removed if the carry-over turns out to be wrong.

Can I post amounts in euros?

No. Balance postings carry hours, not money — the payout itself runs through payroll.

Does overtime expire automatically?

No. There are no automatic deadlines or caps. Whatever expires is posted deliberately as “Expiry” with a note.

Why doesn’t today count yet?

A day enters the balance only once it is over — otherwise every morning would start the full target in the red.

Can I change or delete a posting?

Yes, from the posting itself — with the same rights as creating it. Every change is logged.
