Set up billable rates & amounts
Billable rates turn tracked time into revenue: hours × rate. You set rates per customer, project, task or member — reports and exports then show amounts and billing totals instead of just hours.
Step by step
- 01
Enable
In the workspace settings, once billability is on, the “Enable hourly rates & fees” toggle appears beneath it. You also set the workspace’s default hourly rate and currency (e.g. EUR, USD, CHF). Only members with the “Manage settings” permission can change this.
- 02
Rates on customer, project & task
The hierarchy edit dialogs now carry an “Hourly rate” field. Empty means inherit: the placeholder shows the resolved rate of the level above. The most specific level wins — a task rate beats the project rate, which beats the customer rate. In the lists, the “Rate” column shows the effective value per row.
- 03
Member rates
On the Team page each member can carry their own “Billable rate” (⋯ menu → “Edit rates”). It applies whenever customer, project and task don’t set a rate — hierarchy rates override it per entry.
- 04
The rate is frozen on save
When a billable entry is saved, the resolved rate is frozen on the entry. If you change a rate later, it only affects new entries — existing entries and reports stay correct.
- 05
Amounts in reports
The Overview shows the “Billing total” KPI and an amount column per group — grouped by customer you see the billing total per customer. The “Detailed” tab shows rate and amount on every entry.
- 06
Export
CSV, Excel and PDF exports include the amount columns — with exactly the period, filters and grouping you currently see.
Rate field with inheritance preview
In a customer, project or task edit dialog the “Hourly rate” field stays empty when the level should inherit — the placeholder shows which rate actually applies. So you see what an entry on this level would be worth before saving.
Member rates on the Team page
The member list shows the “Billable rate” and “Cost rate” columns. Via the ⋯ menu → “Edit rates” you maintain both values per member — empty means the hierarchy rates or the workspace default apply.
Billing total in the Overview
Next to the hours, the Overview shows the “Billing total” KPI and an amount column per group. Hours without a resolved rate are reported separately, so nothing stays unvalued unnoticed.
In what order are rates resolved?
From specific to general: task → project → customer → member rate → the workspace’s default hourly rate. The first rate set along that path wins.
What happens to old entries when I change a rate?
Nothing. The rate is frozen when each entry is saved — rate changes affect only new entries.
Who sees rates and amounts?
Owners and Admins always. Other members only if their role has the permission to view amounts. Without it, the server itself omits all amounts — including in exports.
What happens when I switch rates off?
Switching off only hides: all rates, amounts and frozen values are kept. Switch back on and everything is exactly as before.
